JOB OPENING: COMMUNITY DEVELOPMENT ADMINISTRATIVE ASSISTANT

GENERAL DESCRIPTION OF POSITION:
Under the general supervision of the Community Development Director, the Administrative Secretary performs a variety of secretarial and administrative duties (from written and oral instruction) requiring knowledge of office routines and procedures related to the work of the supervisor. This position requires some judgment and/or knowledge of the procedures and policies in the Department.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
The functions listed below are those that represent the majority of the time spent working in this position. Essential duties and responsibilities may include, but are not limited to the following:

  • Receives telephone calls, emails, complaints, and visitors for the City of Marion.

  • Provides information to customers on regulations relating to permitting, inspection and building and code enforcement, and ensure that prompt and correct information is provided.

  • Prepares a variety of correspondence from draft copies or detailed instructions; maintain files and records for ordinances, resolutions, new residential and commercial permits; and log City Council meeting minutes.

  • Prepares monthly permit and inspection report and creates general statistical information for the Department.

  • Receives and handles requests for building permits, certificates of occupancy, and inspections (commercial and residential) including out of city inspections and maintains building and certificate of occupancy files.

  • Schedules requests for building inspections.

  • Performs daily budget activities including deposits for the City of Marion (except court), reconcile deposits from the bank, count cash and checks for library, police department, Sultana Museum, and financial statements.

  • Receives and distributes incoming mail for the City of Marion. Processes outgoing mail for the Department.

  • Issues privilege licenses and beer and liquor licenses.

  • Maintains current listing of business licenses.

  • Assists the Director with the City’s collection of Advertising and Promotion (A&P) tax.

  • Operates a variety of office equipment, including computers utilizing various software packages.

  • Collects and turns in forms for the City’s usage of gas and electric.

  • Performs other duties as assigned.

QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each aforementioned essential duty satisfactorily. The requirements listed below are representative of the additional knowledge, skill, and/or ability required.

  • Proficient computer skills and knowledge of various computer programs.

  • Excellent oral and written communication skills (grammar and spelling) and exhibit exceptional customer service with the public and other city departments.

  • Ability to make decisions in accordance with department policies and procedures and have knowledge of general office procedures and work methods.

  • Ability to work independently and as a team member.

  • Ability to communicate and interact effectively with members of the public.

  • Ability to type 40 wpm.

  • Work is primarily performed within an office environment sitting at a desk. The employee uses tools or equipment requiring dexterity.

EDUCATION:
Must have high-school diploma or equivalent.

COMMUNICATION SKILLS:
Ability to effectively communicate information and respond to questions in person-to-person and group situations with the public and other City staff.

COMPENSATION:
$14 - $18 per hour, based upon experience

JOB OPENING: ASSISTANT PUBLIC WORKS DIRECTOR

Reports to: Mayor, City of Marion
FLSA Classification: Exempt

POSITION SUMMARY:
The Assistant Public Works Director helps lead the City’s public works operations. The primary responsibilities are to oversee streets, drainage, and mowing employees, ensuring work is done safely, on time, and to city standards. In the absence of the Public Works Director, the Sanitation Supervisor reports directly to the Assistant Public Works Director.

KEY RESPONSIBILITES:

  • Supervise and schedule streets, drainage, and mowing crews.

  • Inspect streets, ditches, and public areas; identify and prioritize maintenance needs.

  • Oversee daily tasks such as pothole patching, right-of-way mowing, ditch cleaning, and debris removal.

  • Ensure safe work practices and proper use of equipment.

  • Respond to citizen requests and complaints related to streets, drainage, and mowing.

  • Coordinate with other city staff and assist during storms and other emergencies.

  • In the Director’s absence, serve as the point of contact for sanitation and receive reports from the Sanitation Supervisor.

  • Serve as Acting Public Works Director when assigned.

REQUIRED QUALIFICATIONS:

  • High school diploma or GED.

  • Several years of experience in street, drainage, mowing/grounds, construction, or similar work.

  • At least one year of experience supervising or leading field crews.

  • Ability to work outdoors in all weather and perform field inspections.

  • Valid driver’s license and acceptable driving record.

PREFERRED QUALIFICATIONS:

  • Experience in a city or county public works or street department.

  • Experience with equipment such as dump trucks, mowers, tractors, or skid steers.

  • Familiarity with basic drainage and right-of-way maintenance practices.

JOB OPENING--DISTRICT COURT CLERK

Reports to:      Deputy Court Clerk

GENERAL DESCRIPTION OF POSITION:
A court clerk provides administrative and clerical support to the City of Marion’s District Court and ensures that all logistical details of a trial run smoothly. A court clerk requires strong organizational abilities, detailed knowledge of court proceedings, and strong communication skills. A court clerk creates and processes court orders and other paperwork, maintains records of court proceedings, takes notes during trials, and provides details and instructions to jury members.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
The functions listed below represent the majority of the time spent working in this position. Essential duties and responsibilities may include, but are not limited to, the following:

  • Accept payments of fines and other monies on behalf of the court as directed.

  • Process paperwork related to court trials.

  • Notify individuals of court dates and required appearances.

  • Manage courtroom schedule.

  • Answer questions about trials or court documents.

  • Retrieve old court documents from storage or database as necessary.

  • Schedule hearings and court appointments.

  • Transcribe documents for judges and lawyers as needed.

  • Type and edit confidential documents and correspondence on behalf of judges and/or lawyers.

  • Enter necessary information into the court database.

  • Answer phones, send faxes, respond to emails, and perform other clerical duties as needed.

  • Order supplies for the court office.

  • Perform additional related duties as required.

QUALIFICATIONS:
